Job Description Changes -- Office Assistant & Administrative Assistant

It recently came to the attention of President Moran that job descriptions have significantly changed for the Office Assistant and Administrative Assistant titles. After reaching out to CSEA members who hold these titles, they confirmed that no one had been advised of the change which took place on May 10, 2013.

The updated job descriptions are attached. All members holding either of the titles should take the time to download and read the descriptions.

2013 Performance Evaluations:

Because the new descriptions were not issued to members in these titles, or their supervisors, CSEA Local 698 is recommending that members in these titles make specific comments on their 2013 performance evaluations. Members should also ensure that the job description prior to the May 10th update be attached to the evaluation.

  1. Ensure that the previous job description is attached to the performance evaluation. This is the job description (and duties/functions therein) that you should be rated on.
  2. Ensure that you receive, from your supervisor, a copy of the new job description. This is what will be expected of you moving forward, and what you will be rated on for the 2014 rating period.
  3. Make a documented notation on your 2013 performance evaluation noting that you were never advised by your supervisor or otherwise of significant changes to your job duties in 2013. Further state that you expect that you ratings for 2013 performance are with regard to the duties in the job description prior to May 10, 2013.

It is within management’s rights to change job description. Therefore this action is not grievable. That said, by taking the steps above, it will help you to avoid a misunderstanding during the 2013 evaluation process.
